From enquiry to invoice in one cargo management solution

AviaPrime keeps track of enquiries and follow-ups in its mailbox, turns won quotes into shipments, and prepares invoices without entering the same details again.

“We can stay organised and respond more efficiently.”

AviaPrime · Airfreight broker, Liège Airport

AviaPrime uses FreightSpark ONE for sales, operations and invoicing. The airfreight broker has brought work previously spread across several tools into one solution, connecting customer enquiries with the shipment and invoice work that follows.

Based at Liège Airport, AviaPrime handles enquiries from customers across Europe. Its team helps customers find airfreight solutions that fit their budget, transit time and operational needs.

Bringing the cargo workflow together

Before ONE, AviaPrime used email and phone calls for communication and Google Sheets for pricing and tracking. These gave the team the speed and flexibility it needed when quoting. Operations and invoicing ran in Logitude, so moving from an enquiry to an executed and invoiced shipment involved several tools.

AviaPrime wanted to spend more time responding to customers and developing business, with less repetitive administration. It was looking for an airfreight-specific platform that brought sales, operations and invoicing together and suited the way the team worked.

“We now use ONE for sales, operations and invoicing. The biggest difference is in managing sales enquiries, which used to take up a large part of our day.”

A clearer view of each enquiry

A customer enquiry can require rates from several airlines or GSAs. Previously, AviaPrime copied shipment details into supplier requests, brought the replies together to prepare an offer and tracked progress across email threads and a separate spreadsheet. This took time and increased the risk of missing information or making errors.

In ONE, the related exchanges appear in a single conversation. With CRM integrated into its mailbox, the team can follow the enquiry, see where it stands and identify what needs following up. AviaPrime says this helps it stay organised and respond more efficiently when several requests arrive at once.

The team also wanted AI to play a practical role in its daily work. It reports using ONE’s AI features to compare suppliers and analyse trends that support commercial decisions.

From won quote to cargo operations

When a customer accepts an offer, ONE can create the shipment from the won quote, carrying across the customer, cargo, route and quoted charges. The team adds the AWB and confirms the required shipment details, starting operational work with the information already prepared during quoting.

Invoicing from the shipment

Finance prepares the customer invoice from the charges recorded on the shipment. ONE identifies eligible charges and brings them into a populated invoice draft for review. The team can check the details against the shipment, then finalise and send the invoice from ONE.
